You've spent weeks, maybe month, reading about India's hospitals. You've heard the stories: world-class surgeons, a fraction of the cost you'd pay at home, and treatments your local doctors say aren't available anywhere nearby. It sounds promising. But then the questions start.
How do I find the right hospital? Who do I contact first? What happens when I land? What if something goes wrong and I'm thousands of miles from home?
These aren't small concerns. They are completely valid. Travelling to a foreign country for a major medical procedure is one of the most consequential decisions a person can make, and the difference between a smooth, supported journey and a frightening one often comes down to who is managing it alongside you.
At HOSPIDIO, we have guided hundreds of patients from across Africa, the Caribbean, the Pacific Islands, and beyond through their medical journeys to India. We manage every single step, from the moment you first send us a message to the day you return home, so that you never have to figure this out alone. In this post, we walk you through exactly how the HOSPIDIO medical journey works, step by step, in plain language, with no surprises.
The difference between a frightening journey and a supported one comes down to who is walking it with you.
STEP 1: Reach Out via WhatsApp, Email or Form, Whatever Works for You
Most of our patients don't find us through a formal website search. They find us the way people in Africa and the Caribbean typically share important information, that is, through a trusted contact. A relative who travelled to India last year. A church member who found a surgeon for their father. A neighbour whose child was treated and came home walking again.
When you're ready to take the first step, all you need to do is reach out. The easiest way is WhatsApp, just send us a message describing your condition and which country you're in. You don't need a perfect summary. You don't need the medical terminology. A few sentences about what you're facing is enough to get started.
You can also fill in our online treatment request form, or send an email. Whatever channel feels most comfortable.
Here's what we ask at this stage:
- Your name and the country you're contacting us from
- The medical condition or the type of treatment you are looking for
- Any reports, scans or test results you may already have (don't worry if you don't have these yet)
- How urgently you need treatment
A member of our patient support team will respond within a few hours. You are not committing to anything at this point. You are simply starting a conversation and we will guide every step from there.
Ready to take the first step? Send us a WhatsApp message right now.
STEP 2: We Review Your Case and Connect You with the Right Specialist
Once you've reached out, we don't just point you at a list of hospitals and wish you luck. We take the time to understand your specific case before recommending anything.
Our medical team reviews the information and reports you've shared. We look at your condition, the stage of treatment required, your medical history where relevant, and importantly, your budget.
Then we match you to the right hospital and the right specialist from our verified network of India's leading institutions.
We don't work with every hospital in India. We work with hospitals we trust, facilities that meet international standards, are accredited by NABH or JCI, and have strong track records with international patients. You can browse our hospital network and our specialist doctors on our website.
After matching you to the appropriate specialist, we facilitate a doctor's opinion, typically delivered within 48 to 72 hours of us receiving your full set of reports. This opinion covers:
- A recommended treatment plan from the specialist
- An estimated cost breakdown
- Proposed timeline for the treatment and recovery
- Any further diagnostic tests or information needed before you travel
At this point, you can ask as many questions as you like. Many patients want a video consultation with the doctor before they commit , and we can arrange that too. This is your decision, and we want you to feel completely informed before you take the next step.
You are under no obligation to proceed after receiving the specialist's opinion. Many patients take time to discuss with their family or compare options before deciding. We are here whenever you're ready.

STEP 3: We Handle the Visa Process and Plan Your Travel
Once you've decided to proceed with treatment in India, we begin the practical side of the journey, and there is quite a lot to coordinate. This is where HOSPIDIO's role becomes especially valuable, because organising a medical trip from abroad is not simple.
The India Medical Visa
To travel to India for medical treatment, you need a Medical Visa, a specific visa category designed for patients and their attendants. We guide you through the entire application process, including:
- The full document checklist (passport, medical reports, doctor's letter, financial proof)
- The hospital invitation letter, which HOSPIDIO arranges on your behalf
- Guidance on your nearest Indian embassy or consulate and their specific requirements
- Guidance on online e-medical visa application for eligible countries
- Support for your attendant's visa if a family member is travelling with you
Visa processing times vary by country, but most approvals come through within 3 to 7 business days for a medical visa application. We have country-specific guides to help you, find your country below or contact us for more information:

Flights and Accommodation
We advise you on the best flight routes to the city where your hospital is located, whether that's Delhi, Mumbai, Chennai, or elsewhere. We also arrange accommodation near your hospital for you and your accompanying family member, so you are never dealing with unfamiliar logistics in an unfamiliar city.
Note on attendants: Most patients travelling to India from Africa and the Caribbean bring one family member with them. India's medical visa specifically allows for an attendant visa, we'll make sure your family member has theirs arranged at the same time
STEP 4: You Land in India, We Are Already There
This is the moment that patients most commonly worry about. You've never been to India before. You don't know the city. You've just flown for many hours, possibly through a connection, and you're tired and anxious.
Here's what actually happens: a HOSPIDIO representative is waiting for you at the airport before you even clear customs. They have your name, your photo, and the details of your case. They will be holding a sign. They will take your bags, bring you to a vehicle, and get you to either your accommodation or the hospital directly, depending on the plan we've made together.
Hospital Admission
When it's time to check in to the hospital, we are there with you. We handle the paperwork, coordinate with the hospital's international patient department, and make sure your room and initial consultations are arranged exactly as planned.
Language Support
India's major hospitals are highly experienced with international patients, and most senior doctors and nursing staff speak excellent English. Where specific language support is needed, for patients whose primary language is French, Portuguese, Spanish or another language, we coordinate translation services to ensure nothing is lost in communication.
From the moment you land, you have a dedicated HOSPIDIO case manager assigned to you. Their job is to be your single point of contact for everything that happens next.
STEP 5: During Your Treatment,You Are Never Alone
The fear of being ill and alone in a foreign country is one of the most common concerns we hear from patients before they travel. We want to address it directly: with HOSPIDIO, it does not happen.
Your Case Manager's Daily Role
Your dedicated case manager is active throughout your entire stay. On a typical day, they will:
- Check in with you and your family member each morning
- Liaise with the surgical or medical team on your behalf, asking questions, clarifying the plan, and relaying information in plain language
- Communicate updates to your family back home, so your loved ones are never left wondering
- Handle any administrative or logistical issues that arise, from changing medication schedules to booking any additional tests
- Be reachable by WhatsApp at any hour if something urgent comes up
Food and Cultural Comfort
We know that food and familiar surroundings matter enormously when you're unwell. India's major hospitals have international patient wards with diverse meal options. For patients from West Africa, the Caribbean, or the Pacific, we work with the hospital dietary teams to accommodate local food preferences wherever possible. We also help identify nearby restaurants and shops that can bring some familiarity to your stay.
If Something Unexpected Happens
Medicine is not always predictable. Sometimes recovery takes longer. Sometimes the treatment plan needs to adjust. If your stay needs to extend, we coordinate with the hospital and help you apply for a medical visa extension through India's FRRO (Foreigners Regional Registration Office). Your accommodation and support continue uninterrupted.
None of this falls on you to figure out. We handle it.

STEP 6: Discharge Day - What Happens Before You Fly Home
Discharge day is a significant moment, but it's also one that comes with its own set of things to manage. We make sure nothing is missed.
Before you leave the hospital, your HOSPIDIO case manager ensures you have:
- Your full discharge summary, a complete medical record of your treatment, in English
- Your prescriptions and a sufficient supply of any medications needed for the initial weeks at home
- Wound care instructions, physiotherapy plans, or dietary guidelines your doctor has specified
- A medical fitness-to-fly clearance from your treating physician
- Copies of all scans, lab results, and operative reports, both in print and digitally
Why does this matter so much? Because when you return home, your local doctor will need this documentation to continue your care. Incomplete discharge paperwork is one of the most common problems medical travellers face, and it's entirely preventable.
We then arrange your airport transfer from the hospital back to the airport, making sure you arrive with plenty of time and without the stress of organising your own transport while still recovering.
STEP 7: Back Home - HOSPIDIO's Support Does Not End at the Airport
Many medical tourism companies consider their job done the moment a patient boards their return flight. At HOSPIDIO, we see it differently.
Recovery from a major procedure continues for weeks and months after you leave India, and having access to the specialist who treated you, without having to fly back, makes an enormous difference to long-term outcomes.
Telemedicine Follow-Up
We schedule post-discharge telemedicine consultations with your treating Indian specialist at key intervals, typically at two weeks, six weeks, and three months after discharge. These sessions allow your doctor to review your recovery, check your test results if needed, and address any concerns.
Coordination with Your Local Doctor
Your HOSPIDIO case manager also helps coordinate the handover to your local healthcare provider. We can share your discharge summary, operative reports, and the ongoing treatment plan with your doctor at home, so that your local care continues seamlessly from where India left off.
What If a Complication Arises?
If you experience any concerns after returning home, unexpected pain, a wound that isn't healing as expected, or anything that worries you, your first call should be to your local doctor. But HOSPIDIO remains a point of contact too. We can facilitate an urgent telemedicine session with your Indian specialist, or advise on whether returning to India for a review is necessary.
You are not left to handle complications alone. That is a commitment we make to every HOSPIDIO patient.
"We see our work as done not when you board your return flight, but when you are fully recovered and thriving at home."
Why Patients Trust HOSPIDIO to Manage Their Journey
You could, in theory, contact an Indian hospital directly. Some patients do. But most who try quickly discover that managing an international medical trip without a dedicated coordinator is extraordinarily stressful, especially when you are already unwell.
When you travel with HOSPIDIO, here is what is different:
- You have a single point of contact who knows your case from day one to day done
- You never deal directly with hospital administration or bureaucracy, we handle that layer
- Your family at home is kept informed throughout, reducing anxiety on both sides
- You access India's best hospitals at negotiated rates, without overpaying
- Your care continues after you return home, not just while you're in India
- You travel knowing that if anything unexpected happens, someone who knows your case is one WhatsApp message away
